When is conventional automation a better choice than AI?

  • AI
  • workflow ownership

The short answer

Conventional automation may be a better choice when the task follows explicit, stable rules and the inputs are structured enough to apply them reliably. AI can help with tasks involving interpretation or variable language, but it adds uncertainty and evaluation needs. Choose the simplest approach that meets the actual requirements.

What to establish

Separate deterministic steps from judgement-heavy steps. A workflow may use rules to validate fields and route records while using AI only to draft or classify a bounded part. Compare the failure modes and maintenance needs of each option.

How to assess readiness

Test the proposed method against representative cases, including exceptions. Do not assume AI is required because the process is repetitive, and do not force a rule set onto a task whose meaning depends on context the rules cannot capture.

Make it concrete.

A form with clear eligibility conditions may need ordinary validation and routing. Summarising an open-ended request for a person to review may be a different kind of task. Combining those approaches can keep responsibilities more understandable.

Before you commission

  • Identify stable rules and ambiguous decisions separately.
  • Compare failures and maintenance effort.
  • Use the least complex method that meets the standard.
